The Facilities Administrative Assistant will be administrative help for all Facilities, BioMed and Housekeeping. This position will report to the EHS & Facilities Manager.
- High school graduate or equivalent preferred.
- Must be skilled in typing, filing and following simple office procedures and directions.
- Knowledge and skill in computer programs such as Microsoft Office is required.
- Confidentiality is critically important in this position.
JOB REQUIREMENTS:
· Safeguarding the privacy and security of protected health information (PHI) in any form including electronic, written or verbal.
- Familiarizes self with and adheres to all facility and department safety policies and procedures.
- Completes all required annual safety training.
· Displays and promotes professional behavior, reflecting a positive attitude, promoting cooperation and good morale throughout the facility and the community.

JOB RESPONSIBILITIES:
- Attends department meetings and responsible for keeping and preparing minutes.
- Coordinating schedules for meetings, appointments, and events.
- Prepares monthly, quarterly, and annual reports.
- Maintains and files reports and records
- Prepare invoices for delivery to accounting
- Utilize Preventative Maintenance Program software to organize and track activity
- Sorting and responding to mail or distributing to employees
- Participating in safety initiatives and ensuring compliance with safety procedures
- Ensuring adherence to company policies and local, state, and federal regulations and guidelines.
- Assist with timecards, employee schedules, and scheduling/tracking of tasks reported to Manager.
- Entering and managing data related to production, inventory, and other plant operations.
- Assist with day-to-day staffing concerns.
- Monitoring and ordering department supplies and materials.
- Answers telephones and relay messages when necessary.
- Involved in the efforts to continually improve the Department function, efficiency, and effectiveness.
- All other duties as assigned.
TYPICAL WORKING CONDITIONS: Work is performed in an office environment and includes daily contact with GSHA staff, representatives of outside organizations and the public in a well-lit, temperature-controlled room and atmosphere. Work requires corrected vision and hearing to a normal range.
TYPICAL PHYSICAL DEMANDS: Position requires prolonged sitting or standing and frequent stooping, bending and/or stretching. The employee must be able to meet the physical demands of the job to successfully perform the essential functions of the job, with reasonable accommodation if necessary.
Compensation
$15-$17 per hour
